Creating .set Files to Support the Order & Inventory Management Process

Step-by-step guide

  1. Access OE Entry Batch 1. Export (OEEBX).
  2. Select whether to enter a list of Customers. This option allows you to transfer customer data to Windows Mobile. If you select No, the generic product list will be the only export available.
  3. Enter a file name for this required field. This file name is appended to the system-generated name. For example, 01_bsmith30859.set where ‘01’ is the warehouse, ‘bsmith’ is the file name selected in the export,  and ‘30859’ is a timestamp to make the file unique and sequential. This name will be important to the automatic mapping logic in the Command Center.
    1. The Export Full Product List option allows you to export the entire product list. This list is not associated with any customer. It is recommended that you select No due to the
      potential size of the files.
    2. The Export Prod option allows you to select which product number will display and be used on the Windows Mobile application. If a cross reference number is selected and none other exists, the regular product number is exported.
    3. The Months History for Sales option allows you to create a product list based on up to nine months of prior sales history. This history is derived from the SM Setup Extend Whse Product totals (SMSEW) table and handles cross-year data gathering.
    4. The Export Price & Availability option allows you to control whether a price is calculated for the products being exported and whether current availability is exported to the file. The price is calculated for the specific customer and ship-to location being exported. The pricing logic assumes a quantity of one so that no quantity break logic is applied. The actual price is calculated at the time of import.
    5. The warehouse name entered for the Warehouse for P&A and Order Create option is attached to the Windows Mobile’s file names so that multiple Windows Mobiles and warehouse locations can be used in the file loading and unloading process. The warehouse name also directs the Windows Mobile to pull product pricing and availability from the warehouse location.
    6. The Export Descriptions option allows you to export the full product descriptions.
    7. The Export Costs & Prior Sales Data option allows you to export product costs, last sale date, last quantity ordered, and the price paid. This information is pulled from the Sales Manager cost as identified in AO Product Costs (ICAOC).
    8. The Export Min/Max Information option allows you to export the minimum and maximum product quantities from IC Setup Product Lists (ICSPL) or IC Setup Warehouse Products (ICSW) depending on whether the transaction being exported is for ToolCrib or Consignment.
    9. The Days History for Consignment Transactions option allows you to export prior shipment transactions for Consignment type exports for additional information on the Windows Mobile application.
  4. In graphical, click List to open the Customer List window. In character, press Go, and if you have selected Yes to enter a list, the list entry screen displays.
  5. Enter a customer number for the Customer field.
  6. If necessary, enter a ship to code in the Ship To field.
  7. Choose the transaction type: ToolCrib, Consignment, or None (Order Entry).
    1. If you select None, you are choosing an Order Entry transaction type. Then you can choose a list from IC Setup product Lists (ICSPL) or a self-generated list based on your selection in option 6 of the export options Months History for Sales.
    2. If you choose ToolCrib, then an entry in the List Name field is required. The List Name is a list that has been established in IC Setup Product Lists (ICSPL).
    3. If you choose Consignment then an entry in the list name is required. The list name in this instance must be a valid warehouse from (ICSD). The warehouse must be assigned to the customer number selected.
    4. You can enter unlimited entries in the list, and different types of transactions can be mixed in the same file export. All of the selections will be included in a single set file.
  8. Click OK, then Next, then Finish. In character, press Go to create the export ToolCrib .set files. The report gives you the name of the .set files.
